MASNA's

·         Officers Reports

§  Cheri Philips

·         I trained Linda Close on membership duties. I processed all the new memberships and renewals that we got at MACNA and afterwards up until this past week, due to Linda having Internet issues.

 

§  Phyllis Schiavone Public Relations Director – September 2007

·         Reached out to Cathy to get the surveys to summarize.

·         Reached out to Atlanta to get banners. Discussed with them that the Flash banners should be replaced by JPGs or GIFs and that we would prefer to have them hosted on their server (so that as they change we can use the latest).

·         I would like to get these out to clubs as soon as possible, but am still waiting for JPG images from them.

·         Contacted Scott regarding helping out on the website. Got login information to review the current state of the upgrade.

·         Spoke to a few speakers from the NJ area about joining the MASNA speaker database

·         Newsletter Editor -- Monthly Report -- September 2007

 

·         Finished 3rd and final issue of Marine Scene for MASNA's 2006-2007 fiscal year

 

·         *  14 pages

·         *  Two advertisements (Drs Foster and Smith; and 120 Gallons)

·         *  Focus on youth activities (3 articles)

·         *  3 sample copies brought to MACNA; printing estimates for color copies for MACNA were prohibitively high

·         *  Drs Foster and Smith MACNA attendees said the newsletter had been passed around their facility in Rhinelander

·         *  CPR Aquatic personnel said a copy had been faxed to them because of the "shirt" article

·         *  Marc Levinson (former MASNA newsletter editor) was pleased at how far along Marine Scene has come

 

·         Attended MACNA XIX (Pittsburgh)

 

·         *  Elected for a second term as MASNA Newsletter Editor

·         *  Got to meet and thank two authors who contributed articles to the just-published edition of Marine Scene (Marc Levenson and Chris Braithwaite)

·         *  Staffed the MASNA booth for shifts each day

·         *  Took notes on the conference for potential articles

·         *  Interviewed a Japanese author (a Clownfish book being published in the Oceanographic Series) for an article

·         *  Talked with Alissa Barron about NOAA / International Year of the Reef articles for each Marine Scene issue for the new fiscal year

·         *  Picked up 57 MASNA calendars for sale in the St Louis area; sold 11 calendars ($44) to date

·         *  Picked up MASNA banner and some MASNA brochures to be used at the next MASNA field trip

·         *  Solicited articles from Marc Levinson, Scott Cline, and Curt Swearingen (SEASL member)

 

·         Coming Up

 

·         *  First Marine Scene edition of the new fiscal year

·         *  Obtain copy of Microsoft Publisher from MASNA

§  Scott Cline

 

·         Updated the Annual Meeting Presentation and MASNA MACNA Banquet 2007 presentation to the website

·         Updated the MASNA Website Awards Page for the new website winners and created links from their images to their websites.

·         Updated Permissions for New BOD Members to have proper access to the MASNA website

·         Updated Permissions for Old BOD Members restricting their access to normal user access

·         Added New BOD members to the BOARD Forum

·         Restricted OLD BOD members to the BOARD Forum

·         Updated the MASNA Award Ballot webpage to add Randy Holmes-Farley and change the next deadline date to 2008.

·         Updated the Site Navigation to have the MACNA XX link to the website.

·         Updated the Homepage that displayed MACNA XIX to MACNA XX.  Setup links and grabbed images from their site location.

·         Updated the Copyright in the lower left hand corner from 1989-2004 to 1989-2007

·         Changed the contact us link at the bottom of the page from omegatron to join@masna.org

·         Add Linda to the Join@masna.org email address

·         Changed the Banquet 2007 power point presentation and added Craig Kuhn’s name to it.

·         Rewrote and Fixed the Add Club Board Function.

·         Rewrote and Fixed the Edit Club Board Function.

·         Rewrote and Fixed the Edit Speaker List Board Function.

·         Removed 2 out of 3 entries for Inland Empire Marine Aquarium Society (IEMAS)

·         Granted Access to Steven Pro to Board Forums.

·         Added Steven Pro to BOD@masna.org

·         Created Full Site backup on 9/21/2007 (Caused system downtime Note to Do this late at night next time)

·         Created a new registration site for those that signed up at MACNA that does not require credit card information in order to be processed to the site.  User enters in the First and Last name along with their Username and Password and it will create their account.  If the First and Last name are not in the membership database it will give them a message stating this.

·         Granted Access rights to Kuhndog for the Board Forums.

·         Added Reef Chat Banner in the banner rotation on the website.

·         Added Reef Chat to the Corporate Sponsor’s List on the Home page.

·         Updated Corporate Sponsors page on homepage to reflect FY08 corporate sponsors.

·         Changed Membership website link for Reef Chat to reflect the requested http://www.reefchat.org/Default.aspx?AffiliateId=19

·         Fixed broken Atlanta banner image link.  Swf flash file is not supported by our hosting provider.  Atlanta should create a jpg image banner for MACNA XX it will be better received by the other clubs that will advertise the event.

·         Mailed 10 Calendars to Kelly Jedlicki.

·         Mailed 1 Calendar to Peter Aspenholt in Findland.

·         Mailed 1 calendar to James Wiseman.

·         Checked on shipping rate to Nice, France for Sabine order of 30 calendars.  Shipping estimate was $55.80.  This would leave her with $99.2 in prize money.  Emailed her to verify to ship to.

·         Updated Website to have next MASNA BOD meeting on October 11, 2007.

·         Sabine changed her order from 30 calendars to 20 calendars.  Will be shipping out the weekend of 10/13/2007.

·         Worked out most internet issues

·         Updating information with members that were unclear

·         Requested receipts from Scott Cline for calendars to contest winners and corporate calendar sponsors

·         Invoiced and received payments for pre-order of 100 calendars

·         Began invoicing calendar sponsors

·         Recorded transfer of $5000.00 from Masna operating fund to MASNA scholarship fund as approved at the September 13th BOD Meeting noting that stipulations were placed on transfer

·         Spoke to Steve Bentz about 501(c) filing and he and I deem that filing for such a change is unwarranted.

§  Craig Kuhn

·         No news related to MASNA

·         Made drafts of future stuff to send once I hear more on website update

·         Exchanged emails with Dr Mac about aquaculture

·         Emailed NOAA rep about spring coral task force meeting

§  Steven Pro

·         Will be in a conference call between MAC and The Ocean Foundation  on the future of MAC next week

§  Scott Cline

·         Progress of the new site hasn’t changed. I haven’t had time to work on it

 

·         MACNA XIX Update

o   113 Booths

o   555 Full Show Passes

o   83 day passes       

o   240 trade show only passes

o   5 Friday

o   22 Saturday

o   10 Sunday

o   915 Attendees

o   Made shy of $35,000 even with food, drinks, suites for speakers, honorariums.

o   $35,000 was profit

o   $200,000 total gross.

o   Will enter all data into Quickbooks and will export to Excel

o   PMASI had more Attendees than MARSH but fewer booths

·         MACNA XX

o   360 Full conference tickets sold

o   100 Booths

o   About 600 total conference tickets (including exhibitors & Sponsors)

o   Close to Block of Room estitimates

o   Will Renegotiate when they reach their initial numbers

o   Some exhibitors are being ridiculous but support from others

o   Soon banners will be posted back to their site

o   Maybe making avatars for fourms

·         MS Publisher purchase

o   Amazon list price $148.99

o   Motion to approve Del to purchase MS Publisher at the best price he can get.

o   Extended onto Website

·         $75 for each board member who worked at least 4 hours at the MASNA booth at MACNA XIX

o   Talk about non board members who were serving getting paid

§  Don’t need people volunteering for $75 in future

o   Motion – Current & Past BOD Members who served at the MASNA Booth for a minimum of 4 hours be granted a $75 stipend

§  Voted – Aye – Bob, Bill, Del, Craig, Linda, Phyl, Cheri

§  Voted – Nay – Steven Pro, Scott

§  Motion Passed

o   Craig declines payment even if he worked 4 hours

o   Bill reports he worked more than 4 hrs not the 8 on goggle sheet

o   Please review the google sheet and fix to hours actually worked

·         Cheri left to finish packing

o   Bob Lemcke takes over the meeting again.

·         2008 Calendars

o   Scott still has them sitting in his kitchen

o   1000 calendars were received by Scott

o   500+ calendars left

o   Scott will be mailing the Toledo group buy money for the calendars

o   Also a membership payment from MACNA XIX

o   How to get rid of these calendars??
