Position Descriptions

All BOD are required to attend monthly online meetings – day/time to be decided by the BOD at the annual meeting. These meetings usually last from 1.5 – 2 hours.

PRESIDENT:

Project Coordinator, official spokesperson. Delegate and oversee special projects, pursue volunteers, orientation of new BOD members, follow-up on MACNA Conference planning.

PAST PRESIDENT:

Past President's primary function is to assist the new BOD during the transition period. Questions may arise regarding policy, past experiences, status of ongoing projects, etc., that only a former BOD member would be aware of.

VICE PRESIDENT/Fundraising:

Assist President in communicating with the various organizations who have asked for our support as we've promised them we'd do whatever we can, provided we have the manpower and resources. VP also assists in delegating and overseeing special projects. Pursue donations for Scholarship Fund.

SECRETARY:

Secretary's primary responsibility is to take Minutes of all formal meetings and submit to BOD one week prior to next meeting. When accepted and approved, they are to be forwarded to Webmaster for uploading. This position is basically "Corresponding Secretary" so you and/or Membership person are also responsible for mass mailings to all members notifying them of important news. (Contact Webmaster for details on sending all-member emails.)

Also sends out Notice of Annual Meeting (held at MACNA) to all members at least 30 days in advance. We have a standardized delegates packet which we bring to the meeting.

Archives are to be updated at the end of each year to include:

a)current year's MACNA Databases & Financial Statement
b) current year's Minutes
c) current year's Newsletters
d) current year's Membership database
e) current year's BOD Directory
f) Annual Treasurer's Report

TREASURER:

Treasurer's duties are to see that proper State and Federal Tax Returns are filed on a timely basis, maintain Corporate bank account, issue checks for expenses, deposit revenues received and maintain all Financial records. Financial Summaries are to be submitted to the BOD monthly and Balance Sheet submitted Annually at the close of Fiscal Year (August 31).

Industry/Legislation/Ocean Conservation Representative:

Keep abreast of the current events and activities of these organizations and other legislative activities which might affect the hobby, represent MASNA at their meetings and report back to us and all members. This person is also to attend the National meetings, whenever possible. Forward news of all important proceedings to Newsletter Editor and Webmaster.

MEMBERSHIP:

Email welcome to all new members copying all BOD. Hard copy welcome letter gets mailed along with a current brochure and copy of last Newsletter. Maintain Membership Database and assist with any mass mailings that need to be done. Pursue new members when time and opportunity permit.

PUBLIC RELATIONS:

Assist with publicizing special events by forwarding news to members and assist in posting notices on the Internet. This is also a "Hospitality" type position so includes efforts to improve relationships with members and other organizations. If MASNA has a Hospitality Suite at MACNA, let our VIPs know you're our contact person for "special needs or requests". Participate on discussion boards if possible.

DIRECTOR OF INTERNET PROMOTION:

Publicize MASNA wherever possible on the Internet by forwarding Logos, Banners and Links to all receptive sites. Post notices of upcoming important events or crucial topics. Assist in promoting MACNA whenever possible. Generate all-member emails regarding special events and/or notices. Monitor discussion boards.

EDITOR:

Produce 4 Newsletters per year on a quarterly basis due January, April, July and October to be mailed on the first of these months. Deadlines will be one month in advance or at current Editor's discretion. These dates are on the Newsletter page on the website along with Advertising Rates.

MACNA Promo
Newsletter Deadline dates
Ad Rates
Promos for Member Events

Our first issue each year should include a MACNA review and Awards and introduction of the new BOD. If mailing hard copies, first issue should go to current year's new members and all who were on previous year's roster to encourage them to renew.

Timely updates and posting of Meeting dates and times, Minutes, Club News, Hot topics on the Discussion Boards and National Organization news.
